The Turn Key Program by design is a team effort between your organization and Epsilon Quality.

We know it can be difficult to begin from scratch and develop a plan of action and we have proven it is not necessary to pay a consultant for days on site evaluating your operations before recommending and developing a program.

The Turn Key Program is designed to tap into your expertise and apply it to the program.

The Epsilon Quality Turn Key Program will take you from nothing to a quality program in compliance with ISO 9001:2008 and formal certification.

 

A successful company has established processes and controls in place to ensure the quality of the services and/or products supplied. These processes may be unwritten, but they do exist. Our goal is to provide you with:

  • A solid documentation foundation to build from, and

  • Assistance in, identifying and incorporating your current processes and controls into your new Quality Management System.

Quoted at a fixed rate the Epsilon Quality Turn Key Program provides:

  • The Epsilon Quality Documentation Package - Includes the documentation you will need to begin implementation immediately. It is modified for you and may be used "as is".

  • Unlimited Phone/Email Implementation Assistance - Personal consultation to assist you anytime you need it, for as long as you need it.

  • The Epsilon Implementation Helps Manual - A step by step instruction manual, is a powerful tool to help you implement your program and understand ISO.

  • Exclusive Pre-Assessment Worksheet - Designed to follow your documentation format and includes instructions. Your score will determine when you are ready for your final assessment audit.

  • Final Assessment Audit - Independent assessment performed by Epsilon Certification Services UK or their delegate. We schedule the assessment for you.

  • ISO Certificate and Audit Report - Includes all fees and travel.

During implementation, you will use our exclusive Epsilon Implementation Helps Manual (IHM) to guide you step by step. A highlight of program activity includes:

  • Documentation Review - section by section

  • Making sense out of the ISO Requirements

  • Identifying What organizations processes should be included in your program

  • Determining How to include them in your program

  • Implementation methods with tips for "Fast Track" certification

what the turn key program includes

Step 1: Documentation

The documentation included with the Epsilon Quality Turn Key Program provides your springboard to certification. You may have some if not all of the documentation, if so the package documentation may be replaced with what you have. For the fast track process, it is recommended the basic documentation we have developed be used initially.

By doing so you save time and ensure the basics are in place to satisfy your certification audit. ISO 9001:2008 requires on-going evaluation and improvement of the quality management system, therefore, future revisions and improvements to your documentation is expected and demonstrates your compliance with the Intent of the program.

 

Steps 2 & 3: Training and Implementation

Communication channels will be established and approved prior to beginning.

  • Epsilon - Will assign one point of contact. A systems development leader will be responsible for providing any assistance you may require.

  • Your Organization - The assignment of a Quality Manager for your organization is required. This individual shall be the primary contact for Epsilon. Multiple contacts for email communication is acceptable.

2. Training will be directed at the designated Quality Manager. Epsilons goal is:

  • *To make this person your resident quality expert.

  • Guide them through the review, the necessary revisions to, and distribution of your documentation.

  • To assist the quality manager in developing the implementation schedule and staying on track.

  • Provide guidance for the first internal audit and management review activity.

3. Implementation of the program begins from the day you receive your documentation package. Review, training and implementation may be performed consecutively for fast track certification. The Implementation Helps Manual contains recommended action items for each section of the program. It is designed to ensure all records are established and on file for a successful audit.

Following the instructions included in the (IHM), with additional assistance via email and phone as required will guarantee implementation.

* Resident Quality Expert = The organizations assigned Quality Manager. This individual shall have a thorough understanding of the contents of your quality program documentation, where records are used and located, and a general knowledge of the intent of ISO 9001:2008.


Step 4: Internal Audit and Management Review

Internal Audits - After implementation of the core program elements, you will be ready to perform your first internal audits. The objective of your first audits shall be to verify the success of the implementation activity. Further information obtained from the audit activity will be used to review the identified industry specific elements and processes that have been integrated into the QMS. Your first internal audits will provide gap analysis information that can be recorded formally in your improvement loop activity. Management Review - The information gathered from your internal audits along with a meeting agenda provided, will ensure your first formal management review meeting includes all requirements set forth in your Quality Control Manual and required by ISO.  Your documentation will include worksheets for your audit and an outline/agenda for your management review meeting.

This meeting will generate an action item list that supports your improvement loop activities.

All documents and records required to accomplish your internal audits and management review meetings are included in your documentation package.

 

Step 5: Certification Assessment

Prior to scheduling your onsite certification assessment, you will complete a pre-assessment checklist, provided, that will include all of the areas the auditor will examine. The grade received on the pre-assessment checklist will determine whether it is appropriate to schedule your final assessment audit.

When we are confident of your success we will call and schedule the audit. Epsilon Compliance or their delegate performs the assessment audit.

Upon a successful final assessment audit you will receive your QMS certificate and audit report.

how we quote the turn key program

We believe you should know exactly how much your project is going to cost, before we begin. There are no hidden, or additional fees. Unless you request changes/additions to the scope of services quoted, your pricing is firm and "not to exceed".

how pricing is established

1. How established or mature your processes are. This can usually be ascertained by how long you have been in business. In most cases a business that is well established has developed the in-house processes required to satisfy many of the elements required by ISO and their clients, written or unwritten.

 

Our quoting process is based on process Maturity Level. Years in business.

  • New - 0-3 years

  • Intermediate = 3-10 years

  • Mature = 10+ years

2. How many internal processes are involved. This is typically directly connected with the number of employees. Fewer processes require fewer employees, etc.

 

Our quoting process is based on Standard or Extended processes.

  • Standard = Basic business processes. Usually with less than 20 employees involved.

  • Extended = Advanced or additional processes. Required to comply with industry specific requirements. Typically found in manufacturing organizations and multiple facilities/ locations

The price calculated in the quote you receive, is a firm, not to exceed cost. You will not incur any additional costs to satisfy this scope of services. Pricing includes one (1) on-site visit for your final assessment audit.

To date we boast a 100% success rate and are proud of the reputation we have achieved with our registrar. When we call for a final assessment, they know we have a client that is ready to pass the audit.

 

The following conditions apply:

Your organization must demonstrate a continued commitment to the program implementation. This is demonstrated by the delegation of responsibilities set forth for the Quality Manager and completion of the tasks required to complete implementation of the program. Failure to demonstrate the continued commitment will delay and/or prevent the final assessment audit.

Epsilon is not responsible for the organizations ISO certification success due to failure of implementation.

Maximum project duration is 12 months from initiation date. Extensions are subject to project file renewal fees or project cancellation.

what next

1. At your request we will issue a quotation and scope of services document. (see How We Quote above)

2. Process the project initiation document found at the end of your quotation. You may email notification of acceptance to expedite the process. Follow by mail with the signed project initiation document and your payment as indicated in the terms of your quote.

3. We will ask you to issue any samples requested in your quotation, including organizational and operational/process flow charts for incorporation into your document package. Your process flowcharts will also be used to offer assistance in the determination of your critical processes and what should be included in your quality program.

4. While your documentation comes with all of the forms you need to support the core elements of your Quality Management System, there will still be forms and records that you will need to identify and include in the documentation. With your package you will receive instructions on the forms/records that will be needed and given a form number to assign to them and/or instructions to include these records on your master document log.

5. Review and implementation should begin as soon as you receive your new documentation. Your implementation Helps Manual will assist you with this process.

6. Make a continuing commitment by delegating someone in-house as your quality manager, with responsibility to the program.
